Step by step

  1. Move a candidate through the stages; convert them when they accept.
  2. Convert to staff starts the new record on the opening's employment type — part-time, full-time, casual or contractor — and says so; change it there if what was agreed differs. It decides which pay group and loading follow.
  3. Reference questions keeps a set of questions for each kind of position — reception asks referees different things from a support role.
  4. From the Reference check stage, a candidate's window has References: Record a reference takes the referee, how they know the candidate, their contact details, the day you spoke, an answer to each question and the outcome. Correct and Remove fix a mistake, and Print gives every reference on one page.
  5. The link works for 14 days. Each one you ask is listed as Waiting, then Opened: Send again makes a fresh link (the old one stops working), and Cancel stops it.
  6. When the referee answers, their answers arrive as a reference marked To review, and whoever asked is told. Read it, then Correct sets the outcome.
  7. The link works for 7 days.
  8. When the candidate sends their referees, each one is sent their own link at once, or waits in References for you to Send the link — Reference questions holds that choice for your practice. Whoever asked the candidate is told, and each referee's answers arrive as above.
  9. Once you convert the candidate, their references are on their staff record too.

Tips

  • Converting somebody tells you which staff seat they will be. A seat is a working login for your own people — portal logins for the people you support and their families are free, and so is the platform support login.
  • A referee's name and contact details are personal information: only people who can manage staff see Recruitment, the references on a staff record, and the printed page.
  • A reference answered online shows, in amber, anything worth a second look: a referee whose email or phone is the applicant's own, a personal email address for a referee at an organisation, two referees answering from the same internet address, or answers given in under a minute.
  • When the candidate names their referees, a referee whose email or phone is the candidate's own is marked in amber as they are named, before anyone is asked, and always waits for you to send their link, whatever your practice chose. Look at it first, and ring the referee if it worries you.

Applicant drawer

One candidate — their details, CV, stage, notes and the convert-to-staff step.

  • Converting creates a real staff record and a login.
  • If the hire takes you past the seats your plan covers, you are asked to accept the extra one, and it is recorded against your name. Where your Corella subscription is on and every seat it pays for is in use, the hire needs one more seat first: an administrator or finance person can pay for it right there, with the price shown first, and the person is hired straight after.
  • Someone who looks after your website can add the new person's website photo in the same step: a PNG, JPG or WebP up to 2 MB, checked before the account is made.

Add applicant

Record a candidate against an opening.

New job opening

A role you are hiring for, and whether it goes on your public website.

Website settings

Whether an existing opening is advertised on your public website, and the closing date candidates are shown.

  • Applications close at the END of the closing date, so a date of the 20th means people can still apply on the 20th.
  • After that date the opening STAYS on your website marked "Under review" and stops accepting applications. A vacancy that disappears overnight reads as filled, and people ring to ask.
  • This is separate from the status beside it. Status is your own record — on hold, closed, filled — and only you move it.

Reference questions

A set of questions for each kind of position, which set is your default, and whether the referees an applicant names are asked at once.

  • Ask the referees an applicant names at once: on, each one is emailed their own link to your questions as soon as the applicant sends them, where Corella can email; off, they wait in the applicant's References for you to send. A referee whose email or phone is the applicant's own always waits, whichever you choose.

This is the help Corella shows on this screen, word for word, written in its default words: client and carer.
