Staff, HR and training

A staff member

One person's record — profile, compliance documents, availability and their schedule. A renewed document they sent from their phone waits on Compliance until you confirm it (then their roster warning clears) or send it back with the reason.

Step by step

  1. Deactivating someone with shifts after today says how many, and (ticked) takes them off those shifts and posts each one left short to the job board, telling the people who could work it. Someone switched off before this shows the same offer on their record.
  2. Edit profile holds three hour caps: Max hours / week, Max hours / day and Max hours over a longer period — a fortnight or four weeks counted from your pay fortnight, or a calendar month (part-hours are fine). The roster warns when a shift would take them past any of them — a warning, so you can roster past it and say why — and, where Roster display asks for it, when a shift brings them close. Reports → Staff hours shows each person's busiest pay week against their maximum.
  3. On Compliance, each current record has two marks. Mark verified says the original was checked — the record then says by whom and when, and a renewal sent from a phone is verified when you confirm it.
  4. Edit profile → Next review is the day their next review is due. The record says how near it is, and the staff list shows Review due from 30 days before and Review overdue after it.
  5. Last signed in says when they last signed in.

Profile photo

Their photo on their staff file, so colleagues and the people they visit recognise them.

Deactivate

  • The switch-off always goes through first; the shifts are offered after it. Untick to leave them on the roster's Unassigned row instead.

Make-up time worked

Mark make-up time worked: time owed instead of the pay for a shift a client cancelled within seven days (SCHADS clause 25.5(f)). Say which shift made it up, if you like — the words stay beside it.

Record a right-to-work check

Their basis — a citizen, a permanent resident, a New Zealand citizen or a visa holder — and for a visa its subclass, the day its work rights end, the conditions as VEVO shows them and the hours a fortnight they may work; the day you checked, and the VEVO result or the document you sighted.

  • Each check is kept beside the earlier ones; the newest is the one in force.

Other details

An administrator sets the fields up in Settings → Teams; this is where you record the answers.

  • The card only appears once an administrator has set up at least one field.
  • Each field says who can see it. A field marked 'carer sees this' appears on that person's own profile — anything sensitive, a union membership for example, should stay office only.
  • A field the administrator has since removed keeps whatever was recorded in it, but stops being shown here.

Record a competency sign-off

Record that somebody has been assessed on a clinical skill — the outcome, the date it happened, when it needs doing again, and the assessment form if you have one.

  • Re-assessing creates a new entry rather than overwriting the old one, so a lapse and a renewal both stay readable.

Withdraw a competency sign-off

Take back a sign-off — a practice change, a new pump, or a concern.

  • It stays on the record marked withdrawn rather than being deleted, because it covered the work already done under it.

Edit profile

Contact details — phone and mobile — the whole home address, date of birth, gender, employment basics and pay group.

  • The suburb and postcode feed the roster's who-lives-closest suggestion. Leaving the postcode blank is why that suggestion says “different area” for almost everybody.

Change sign-in email

Move a staff member's account to a different email address — the one they sign in with.

  • The old address is kept in the audit log with who made the change, so a mistake can always be traced back.

Add leave / unavailability

The pencil beside an entry opens the same form to change it in place; the bin removes it.

  • It records WHEN it was entered, so late notice is visible as late notice.
  • Each entry says when it was put in and by whom, and — once changed — when and by whom it was last changed. Older entries name who put them in from the audit log.
  • The staff member is told when the office changes or removes their entry. An approved entry that now covers more time is checked against the roster again.
  • On the roster, click a block of unavailability to open the same details, with Change and Remove for the office. A weekly block is part of their Availability, changed on this record.

Add compliance record

A clearance, licence or qualification with its expiry.

  • The alert tells you; the decision is yours.

Reset password

Issue a new password for this person.

Change role

Move this person to a different access level.

  • This changes what they can see immediately, including money.

Overview

Contact details, home address, date of birth, gender, role, pay group, employment basics and their AHPRA registration number.

  1. Edit profile is also where you correct somebody's name.
  2. Edit profile holds the whole address — street line, suburb, state and postcode. Every field is optional; fill in what you hold.
  3. Phone and Mobile are two separate numbers on Edit profile, the same pair the contact directory has always had.
  4. To change the address somebody signs in with, use Actions → Change sign-in email.
  5. Notifications, at the bottom of Overview, sets which Corella notifications are emailed to this person. They are told who changed them, and can change them back on their own profile.
  6. Actions → Send set-up link emails this person a link, from Corella, to choose their own password. Use it for a new starter or when the first link went astray. It lasts 7 days; their current password keeps working until they use it, and once used every other set-up or reset link for the account stops working.
  7. The profile photo sits at the top of this tab — add, replace or remove it here. It is the picture shown beside this person on the staff list, the roster board and HR.
  • The AHPRA number prints on invoices for services this person provided.
  • The suburb and postcode are what the roster uses to work out who lives closest to a shift. With the postcode blank it can only tell an exact suburb match from “different area”, so filling it in is what makes the closest-worker suggestion useful.
  • The date of birth is only used for the birthday reminder on Contacts.
  • Gender is shown when a client has asked for a carer of a particular gender.
  • Changing somebody’s sign-in email signs them out.
  • We email a notice to both the old and the new address so an unexpected change is visible to the person it happened to.
  • Send set-up link comes from Corella itself, so it goes even while your organisation's own email is switched off.
  • Who may set a profile photo is a choice — Settings → Teams → “Who can set a staff profile photo”. Left as it is, staff can set their own and so can the office.

Compliance

Checks and documents with expiry dates — clearances, licences, qualifications — and their right to work in Australia.

  1. Right to work: Record a check — an Australian citizen, a permanent resident, a New Zealand citizen, or a visa holder. For a visa, enter its subclass, the day its work rights end, the conditions as VEVO shows them and the hours a fortnight they may work, and attach the VEVO result.
  2. The newest check is the one in force. A new check after a visa changes sits beside the earlier ones, and one recorded in error can be removed — the audit log keeps what it said.
  3. Training (where the training module is on): every course they hold — where they are with it, how many of its steps they have done, their mark and the day they finished. Print record opens their training record for an audit, for anyone who manages training.
  • The alert tells you; the decision is yours.
  • The roster warns when their recorded work rights have ended, and when a shift would take a visa holder past their hours in a fortnight — 14 days from a Monday. The people who keep staff records are told from 30 days before a visa's work rights end.

Availability

The pattern of when this person can work, and their unavailability.

  1. Add leave has an All day switch: turn it on and you pick two dates instead of typing times — the block runs 00:00 to 23:59 on every day in between.
  2. A standing weekly block (every Monday, say) is the recurring list underneath, and each day there has its own All day tick.
  • Unavailability records when it was put in, so a late notice is visible as a late notice.
  • A shift outside the days and hours this person gave is warned about when they are rostered, naming what they gave.
  • Leave the office adds is approved on the spot; a request somebody makes on their own profile waits for a decision.

Schedule

The shifts this person is on over the next 14 days.

  • Month shows this person's visits for a whole month, on their own times, with whom they visit — arrows to the months either side, each visit opening on the roster. The roster's calendar beside their name opens it in one press.
